AI Callers · South Africa

AI callers that answer every call and carry it through to the booking.

We build voice agents that pick up on the first ring, understand the enquiry, answer from your own pricing and policies, and then act on it: booking the slot, logging the order, scheduling the delivery, updating the CRM. From hello to handover, day or night. AI callers work alongside WhatsApp flows and follow-ups so a caller who reaches you at 21:00 is confirmed before morning. Built in Cape Town for South African businesses, on the tools you already run.

What are AI callers?

AI callers are voice agents that answer and place business calls, understand what the caller wants, and then act on it inside the systems a company already runs. AI callers take an enquiry after hours, capture the intent and the detail, book the slot, log the outcome and hand over to a person when the call needs one. The relationship stays human. The queue does not.

A customer rings at 20:47 on a Sunday about a gas refill. AI callers answer on the first ring, confirm the address, read the available delivery windows, book one, write the record to the CRM and send the confirmation on WhatsApp. Natural language understanding captures intent, entities and sentiment, so the reply matches what was actually said rather than a menu tree. We build AI callers for South African businesses from Cape Town, and we have delivered systems like this for 35+ companies over 3+ years.

How do AI callers work in practice?

AI callers work as one journey from hello to handover. The call is answered immediately, speech is transcribed as it arrives, and intent, entities and sentiment are read from the caller's own words. The agent then answers in natural language, grounded in live knowledge: current stock, published pricing, service areas, opening hours and the policies the business actually enforces.

Action comes next, and this is the part a phone menu never reaches. AI callers book, update or resolve through the CRM, calendar, inventory or payment system, so a booking made on the call exists in the diary before the caller hangs up. Confirmations, reminders and short surveys then go out over WhatsApp, SMS or email, and the answers feed back into the record. Anything outside the agreed boundary routes to a named person with the transcript attached. We assemble the steps with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini.

What do AI callers replace?

AI callers replace the hold queue, the voicemail box and the callback list nobody gets to. Calls arrive after hours, during load shedding and while the team is already on another line, and a missed call is simply a lost enquiry. AI callers answer all of them, in order, without a wait.

The repetitive traffic goes first: order status, opening hours, delivery scheduling, quote requests, appointment changes and the same product question asked all week. Those calls stop landing on the counter staff and stop interrupting the technician on site. Capacity grows with demand instead of with headcount, so a busy season no longer means a temporary call centre. The difficult conversations, the negotiations and the long-standing accounts stay with the team, where they belong. We do not promise specific percentages, because every call mix is different. We map the current call flow first, then show which steps disappear.

Do AI callers work with our existing tools?

AI callers are built into the stack a business already runs, not sold as a replacement for it. Integration is the core of the work, because a voice agent that cannot write to the diary is just a nicer answering machine. Telephony connects through Twilio or an existing SIP trunk, messaging over WhatsApp Business Cloud API.

Customer records live in InOne CRM, HubSpot or GoHighLevel. Calendars and mail run in Google Workspace or Microsoft 365, payments through PayFast, and stock or job data comes from whichever system already holds it. The systems the business already trusts stay the source of truth. Orchestration runs on n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini, and data that needs its own home lands in Supabase or PostgreSQL behind Cloudflare. If a tool has an API, AI callers can usually talk to it. If it does not, we say so before any build starts.

Are AI callers POPIA compliant, and who approves what?

AI callers built by us are POPIA-aware from the first design session, because a recording of a phone call is personal information and often sensitive. Callers are told up front that the line is handled by an automated agent and that the call is recorded, and consent is captured with the source and the time stamp against the record.

Every follow-up message carries clear opt-out wording, and template usage is logged so an audit can show what was sent and when. Each journey collects only the fields that journey needs. Retention windows delete recordings and transcripts on time, access controls limit who can listen, and change logs record who opened what. Data is encrypted in transit and at rest, and webhooks are signed. Risky actions wait for a human sign-off, and a banned claims list keeps the agent inside the wording the business approved, so nothing is promised on a call that the team cannot deliver.

How does a South African business start with AI callers?

Starting with AI callers is a conversation, not a contract. Pick one call type first: after-hours enquiries, delivery scheduling, quote requests or service bookings. Define what a good outcome sounds like and where the guardrails sit. That conversation costs nothing and usually takes under an hour.

Next we connect the number, the CRM and WhatsApp so voice, chat and web enquiries feed one queue and one customer record. The agent is grounded in the company's own price list, policies and service areas, and the escalation rule that sends a call to a named person is written before anything goes live. Scripts are drafted, reviewed and approved by the business. The pilot runs two to four weeks on the company's own number, then the working variants are promoted and more call types come on. The business owns everything we build: flows, prompts, recordings and data.
