DASHBOARDS & REPORTING · SOUTH AFRICA

Dashboards and reporting from data you already have.

Your numbers exist. They are just trapped in five systems and one heroic spreadsheet. We build live dashboards and automated reports that pull sales, cash, stock, and support data into one screen, then deliver the summary to the people who need it, on schedule, without anyone assembling it by hand.

What are dashboards and reporting for a business?

Dashboards and reporting is live business visibility built from data your company already produces. A dashboard is a single screen that shows sales, cash, stock, and support numbers the moment they change, instead of at month end. Reporting is the automated version of the same picture, delivered on a schedule as a document or a message.

We build dashboards and reporting for South African businesses whose numbers currently live in spreadsheets, inboxes, and five separate systems. The dashboard pulls from those systems on its own, so nobody spends Friday afternoon copying figures into a template. Live visibility from data you already have is the whole promise. Dashboards answer the question you ask every morning, how are we actually doing, without a meeting, a phone call, or a wait. Reporting answers it for the people who were not in the room.

How does the dashboard build work here?

The build is a pipeline with three stages: connect, clean, display. First we connect to the systems that hold your numbers, your CRM, your accounting software such as Xero or Sage, your e-commerce platform, your WhatsApp inbox. Then automations in n8n or Make.com pull the data on a schedule into a proper database, usually Supabase or PostgreSQL, where it gets cleaned and matched. Duplicate customers merge. Currencies and date formats settle into one standard.

Finally the dashboard reads from that database and draws the tiles, the trend lines, and the exception lists your team actually checks. AI models from OpenAI, Anthropic Claude, or Google Gemini sit on top to write the plain-language summary, the paragraph that says what changed this week and why it matters. The dashboard is yours, hosted on infrastructure you control, and it keeps updating whether anyone remembers it or not.

What does automated reporting replace?

Manual reporting is what dashboards and reporting replace. The typical before-picture looks like this: a senior person spends hours every week exporting CSVs, pasting figures into a spreadsheet, fixing the formulas someone broke, and emailing a PDF that is already out of date. Month-end reporting swallows days. Questions from the owner trigger a scramble instead of a glance. Automated reporting removes that entire loop.

The cost shape is simple, one build project, then a small monthly amount for hosting and upkeep, against recurring hours of skilled time given back every single week. We do not publish invented savings figures. What we can describe is the mechanics: every report that used to be assembled by hand now assembles itself, and every follow-up question gets answered by the dashboard instead of by a person digging through exports. The saving compounds because reporting never stops being due.

Does it integrate with the tools we already use?

Integration is the foundation of every dashboard we build. A dashboard that needs manual uploads is just a prettier spreadsheet, so ours connect directly to the tools already running your business. On the sales side that means GoHighLevel or HubSpot. On the money side, Xero, Sage, and PayFast. For e-commerce, Shopify. For conversations, the WhatsApp Business Cloud API and Twilio. For documents and mail, Google Workspace and Microsoft 365.

The connections run through n8n or Make.com, which means no system gets replaced and no data gets retyped. Your team keeps working in the tools they know. The dashboard simply reads what those tools already record and turns it into one coherent picture. If a system has an API, we can usually connect it. If it only exports files, we automate the export. Old software is not a blocker, it is just another source.

How do dashboards stay POPIA compliant and under our control?

POPIA is a design input on every reporting build, not a checkbox at the end. Dashboards concentrate business data in one place, so access control matters more here than almost anywhere else. Every dashboard we ship has role-based access, an owner sees margins, a sales manager sees pipeline, a supplier sees nothing. Personal information stays inside your systems and your database, we are POPIA-aware by default and minimise what any AI model ever sees.

Where an AI summary touches customer records, the data is scoped to what that summary needs. Approvals stay human: a dashboard can flag an anomaly, draft the weekly report, and queue it for review, but a person decides what gets sent to the board or the bank. You own the database, the credentials, and the hosting. If we disappeared tomorrow, your reporting would keep running, that is the control test we build to.

How do we start with dashboards and reporting?

The starting point is one conversation about the numbers you cannot see. Tell us which question takes days to answer, where the money report comes from today, and which spreadsheet everyone dreads. That first call costs nothing and usually surfaces the two or three metrics that matter most. From there we scope a small pilot dashboard, one screen, your most painful report automated first, delivered quickly so you can judge the value on your own data instead of a demo.

If the pilot earns its keep, we extend it, more sources, more views, scheduled reports over email or WhatsApp. Everything we build is handed over properly: you own the workflows, the database, and the documentation. We have built systems for 35+ companies over 3+ years from Cape Town, and we hold a 4.9/5 Google rating across 17 verified reviews. Message us on WhatsApp and describe the report you hate.
