What are AI employees?

AI employees are agentic AI workers that hold a defined role in a business and carry that role end to end: answering, qualifying, booking, following up and updating the systems behind the conversation. AI employees work on WhatsApp, on inbound and outbound calls, and in website chat. Each one reads context before it answers instead of guessing from a script.

How do AI employees work in practice?

AI employees work as a role with three parts: a brief, a set of tools and a boundary. The brief says what the role handles and, just as importantly, where a person takes over. Tools are the actions the role may perform: read the CRM, check a calendar, issue a quote, book a slot, send a payment link, write back to a database. The boundary is what keeps an agent useful instead of unpredictable.

In daily use that looks ordinary. A website visitor asks about lead times and the chat pulls the real answer from the system that holds it. A WhatsApp enquiry arrives late and gets a quote, a booking and a reminder. A call is answered, qualified and summarised to WhatsApp and email. We assemble the orchestration with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini, and every conversation leaves a transcript.

What work do AI employees take over?

AI employees take over the response layer around sales and service: replying to enquiries that land after hours, asking the same qualifying questions for the hundredth time, chasing a quote that went quiet, rebooking a missed slot, retyping a conversation into the CRM, and pushing invoices, e-signatures, payment follow-ups and compliance checks through the back office. Do AI employees work with our existing tools?

AI employees are built into the stack a company already runs, not sold as a replacement for it. We connect CRMs such as HubSpot, Pipedrive, Zoho and GoHighLevel, calendars in Google Workspace or Microsoft 365, payments through Stripe or PayFast, and messaging over WhatsApp Business Cloud API or Twilio.

The systems the business already trusts stay the source of truth. AI employees read from them and write back to them, so nobody learns a new place to look for a customer record. SQL and NoSQL databases, ERPs and custom applications connect through secure APIs, queues and webhooks, which is how an agent answers a stock or order question with a real value instead of a polite deflection. Data that needs its own home lands in Supabase or PostgreSQL, and everything runs behind Cloudflare. If a tool has an API, an AI employee can usually talk to it. If it does not, we say so before any build starts.

Are AI employees POPIA compliant, and who approves what?

Consent is captured explicitly, with the source and the time stamp recorded. Every automated message carries clear opt-out wording, and template usage is logged so an audit can show what was sent and when.

Governance is built into the role itself. Role policies limit what each AI employee may see, tool permissions limit what it may do, and rate limits cap how often it acts. Each journey collects only the fields it needs, and retention windows delete records on time. Data is encrypted in transit and at rest, webhooks are signed, and change logs record who touched what. Risky actions wait for a human sign-off, so nothing sensitive leaves the business unreviewed. Transcripts and weekly human QA close the loop.
