What is document automation and OCR?

Document automation is software that reads the documents your business receives, pulls out the fields that matter, and moves that data into your systems without a person retyping it. OCR, optical character recognition, is the reading layer. It turns scanned PDFs, photos of delivery notes, emailed invoices and signed contracts into structured text a machine can work with.

Document automation then takes over: it validates the extracted fields, names and files the document, and triggers the next step, whether that is a quote, an approval or a CRM update. The pipeline validates those fields against your records, flags anything uncertain for a human, and routes the clean result onward. From there the pipeline can draft a quote, populate a proposal, file the document with a consistent name, or update your CRM and accounting system. We orchestrate the flow in n8n or Make.com, store structured data in Supabase or PostgreSQL, and keep every extraction logged so you can see what was read, from which page, and why.

What does document automation replace, and where does the saving come from?

Document automation replaces the manual chain between a document arriving and the work it triggers. That chain is usually retyping, someone reading a PDF and keying figures into a spreadsheet or accounting system.
