What is Standard AI?
Standard AI is a starter automation layer for South African businesses: one governed assistant that plugs into WhatsApp, website chat and key inboxes to handle repetitive conversations. Standard AI answers the where, when, how much and how do I pay questions, captures and qualifies new leads, takes booking requests and sends job or order updates. The quoting, the selling and the difficult calls stay with the team.
A customer messages at 21:14 on a Sunday asking about the call-out area, the service and Saturday availability. Standard AI replies from the wording the business supplied, captures the area and service type, logs the booking request and hands a tagged record to the CRM. Nothing waits for someone to open the inbox on Monday. We build Standard AI for South African businesses from Cape Town, and we have delivered systems like this for 35+ companies over 3+ years, on tools such as n8n, OpenAI and WhatsApp Business Cloud API.
How does Standard AI work in practice?
Standard AI works as a small set of journeys that fire on a trigger instead of on memory. Lead capture comes first: a new enquiry is greeted, asked three to five qualifying questions about location, service type, budget and timing, then handed to the right person as a clean, tagged record. Repeat questions are answered in the wording the business supplies, with an obvious path to a human when the customer is unhappy or the request is complex.
Bookings and callbacks follow the same pattern. Standard AI collects preferred dates, times and area, applies simple rules for slot length and service type, and forwards the request so the team confirms without endless back and forth. Received, scheduled, on the way and completed updates go out on their own, with quiet hours applied. Polite payment reminders carry a payment link and record proof of payment uploads. We assemble the journeys with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini.
What does Standard AI replace?
Standard AI replaces the copy-paste layer around customer conversations: typing the same directions and policies again, retyping enquiries into a spreadsheet, leaving after-hours messages on read, and phoning back to ask for details the customer already sent. Standard AI does not replace people. The receptionist, the sales lead and the crew keep the conversations that need judgement.
Enquiries that used to sit in an inbox until morning are answered in minutes and land in the CRM with a source attached. Booking requests arrive with the area, service type and preferred time already captured, so confirming takes one message. Status updates keep going while the team is on site. Payment reminders stay polite and on brand instead of stopping when everyone gets busy. We do not promise percentages, because every business is different. We map the real conversations first, then show which manual steps disappear and which stay with the team.
Does Standard AI work with our existing tools?
Standard AI is built into the channels and systems a business already runs, not sold as a replacement for them. Integration is the core of the work. We connect WhatsApp Business Cloud API or Twilio, website chat, and the shared inboxes in Google Workspace or Microsoft 365, so one queue holds every conversation no matter where it started.
The systems the team already trusts stay the source of truth. Customer records sync to InOne CRM, HubSpot or GoHighLevel, payment links run through PayFast, and data that needs its own home lands in Supabase or PostgreSQL, with everything behind Cloudflare. Access is granted on a least-privilege basis, so Standard AI reads and writes only the fields a journey needs. Nobody learns a new place to look for a customer. If a tool has an API, Standard AI can usually talk to it. If it does not, we say so before any build starts rather than after.
Is Standard AI POPIA compliant, and who approves what?
Standard AI built by us is POPIA-aware from the first design session, because an assistant that messages customers directly sits close to personal information. Consent is captured explicitly, with the source and the time stamp recorded. The reason for messaging is stated in plain language, whether that is a quote, a booking, an update or a reminder, and opt-outs are honoured immediately.
Quiet hours and sending limits prevent late-night WhatsApps and over-messaging, so automation feels helpful rather than spammy. Talk to a person is always an obvious option, and staff take over live with a summary of what the assistant already asked, so customers never repeat themselves. Key interactions, templates and rule outcomes are logged, which is how a complaint gets resolved with facts instead of guesswork. Sensitive steps and unhappy customers route straight to the team with full context, and every automated reply stays inside the boundary the business sets.
How does a business start with Standard AI?
Starting with Standard AI is a conversation, not a contract. Pick one or two journeys first: missed leads, FAQs, bookings or status updates. Define success in plain terms like faster replies or fewer missed enquiries. That conversation costs nothing and usually takes under an hour.
Next we connect the channels and the CRM with least-privilege access, then load the real FAQs, policies and example replies so the assistant learns the tone and the phrases the business does not want in front of customers. The first weeks run in assist mode, where Standard AI drafts replies and captures structured data while humans review and send. Safe automation is switched on for low-risk journeys once the team is comfortable, starting with FAQs, confirmations and updates. Response times and volumes get reviewed, then more journeys follow. The business owns everything we build: workflows, prompts and data.
