What is an AI HR assistant?

An AI HR assistant is a governed support layer that answers repetitive employee questions from approved HR content, guides people through HR workflows, and escalates sensitive matters to human HR. An AI HR assistant covers leave, payroll, benefits, policy and onboarding queries around the clock. Employment judgement stays with the HR team. An employee opens a chat before shift start and asks how much annual leave is left and how to apply for it. The AI HR assistant answers from the current policy, opens the leave request, and tells the employee what happens next. Onboarding runs first. New hires are guided through first-day questions, required forms, policies and checklists, and reminders repeat until the paperwork lands. Leave, payroll and benefits questions are answered directly, with exceptions routed by type, urgency or team. We assemble the steps with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini, over WhatsApp, Teams or email.

What does an AI HR assistant replace?

An AI HR assistant replaces the repetitive admin layer wrapped around HR service delivery: answering the same leave and payroll questions every month, resending the same policy document, chasing new hires for outstanding paperwork, retyping requests into a tracker, and hunting for context before a case can be actioned. Approved policy content and structured HR data land in Supabase or PostgreSQL, and everything runs behind Cloudflare. If a tool has an API, an AI HR assistant can usually talk to it. Each workflow collects only the fields that workflow needs. Retention windows delete records on time, access controls limit who can open a case, and change logs record who touched what. Data is encrypted in transit and at rest, and webhooks are signed. Disciplinary, grievance, medical, remuneration and exit matters escalate to a named human owner with the context attached, rather than being answered automatically. Unresolved intents and escalation points are tracked, so the policies and workflows that keep causing confusion get fixed.
