All-in-One Conversation is a single central inbox that tracks and answers customer messages across email, SMS, WhatsApp, Facebook and Instagram, with assignments, collaboration and full history on one screen. Every channel lands in one queue against one customer record. Nobody jumps between apps, and nobody guesses who replied last.

A customer asks about an order on WhatsApp at 21:12, comments on a Facebook post the next morning, then emails to confirm. All-in-One Conversation keeps those three messages on one thread, under one owner, with the earlier answers visible to whoever picks the thread up. Support, sales and ops share the same view instead of three separate versions of the story. How does All-in-One Conversation work in practice?

All-in-One Conversation works by pulling every channel into one queue, then routing each thread to a named owner. A WhatsApp enquiry, a Facebook comment, an SMS reply and a website form all arrive in the same place and attach to the same customer record. Routing rules assign by team, product line or language, and tags mark intent so the queue can be read at a glance.

From there the work is ordinary and visible. Simple response targets show which threads are ageing, saved replies and snippets keep answers on brand, and a draft can wait for a person to read it before it sends. Internal notes stay internal. Status runs from open to owned to done, so a handover carries the context with it rather than restarting the conversation. We assemble the flow with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini.

We connect WhatsApp Business Cloud API or Twilio for chat and SMS, Facebook and Instagram messaging for social, Google Workspace or Microsoft 365 for mail, and customer records in HubSpot or GoHighLevel. Website chat and forms feed the same queue.

The CRM the team already trusts stays the source of truth. All-in-One Conversation reads from it and writes back to it, so a customer record keeps one home and nobody learns a second place to look. Data that needs its own store lands in Supabase or PostgreSQL, and everything runs behind Cloudflare. If a channel or tool has an API, All-in-One Conversation can usually talk to it. If it does not, we will say so before any build starts rather than after.

Is All-in-One Conversation POPIA compliant, and who approves what?

All-in-One Conversation built by us is POPIA-aware from the first design session, because a unified inbox gathers personal messages from several channels into one store. Consent is captured explicitly, with the source and the time stamp recorded. Every outbound message carries clear opt-out wording, and WhatsApp template usage is logged so an audit can show what was sent and when.

Each channel collects only the fields that channel needs. Access controls decide which agents can open which threads, retention windows delete records on time, and change logs record who touched what. Data is encrypted in transit and at rest, and webhooks are signed. Risky replies wait for a human sign-off, so nothing sensitive leaves the business unreviewed. A banned claims list keeps automated wording inside the boundary the business sets, and edits made by an agent are preserved, so ownership of the final reply stays clear.
