What was breaking before?

Manual RSVP chasing across email and DMs, with guests slipping through: that was the starting point. Event RSVPs lived in whatever channel a guest happened to reply on. One guest confirmed by email, another in a DM, a third by replying to the wrong thread entirely. The team held the picture together by hand.

Every campaign meant the same routine. Export a guest list, send invites, then chase. Someone scrolled inboxes and message threads, copied names into a spreadsheet, and hoped the spreadsheet matched reality. Replies arrived at all hours and in every format, so answers were missed or logged twice. A guest who never replied looked identical to a guest whose reply sat unread. The closer the event came, the worse the pressure, because reminders had to go out manually to a list nobody fully trusted. Attendance planning ran on a number everyone knew was wrong.

What did we build?

An end to end WhatsApp RSVP flow: invites, replies, confirmations and reminders, all running through one channel and one system. The build has four moving parts. First, invite sending: the guest list feeds the flow, and each guest receives a personal WhatsApp invite from the platform’s own number. Second, reply handling: the system reads each response, understands yes, no and maybe in the ways people actually type them, and asks a clarifying question when a reply is ambiguous.

Third, confirmations: an accepted invite triggers an instant confirmation back to the guest and a status update in the guest list, so the record and the conversation always agree. Fourth, reminders: as the event approaches, the flow nudges guests who accepted and follows up with guests who never answered. The team keeps an approval gate over message templates, so nothing goes out that the brand has not signed off.

Client identity and specific commercial metrics stay under NDA. What we publish is the shape of the system and the outcomes the client has approved. On a call we walk through live systems, not slides.

How does the system decide what to do?

Rules first, escalation second, human approval where it matters: that is the decision model. A clear yes or no is handled automatically. The reply is logged, the guest status changes, and the confirmation goes out without anyone touching it. An ambiguous reply earns one polite clarifying question before anything is recorded.

Anything outside the script escalates to a person. A guest asking about parking, dietary requirements or a plus one is handed to the team with the full conversation attached, so the human answer picks up exactly where the automation stopped. Timing runs on rules too: reminders fire on a schedule relative to the event date, and a guest who has already declined is never nudged again. Message templates pass through human approval before a campaign starts, which keeps the brand voice consistent. The automation does the repetition. People handle the judgement calls.

What changed for the team?
