Quote Automation · South Africa

Quote automation that turns an enquiry into a signed deal.

We help South African teams stop building quotes in spreadsheets and rewriting proposals by hand. Quote automation holds your price list and pricing rules, generates the quote or proposal instantly, routes discount approvals, collects click-to-accept or e-signature, and triggers invoicing and onboarding. Built in Cape Town, on the CRM and accounting tools the business already runs.

What is quote automation?

Quote automation is software that turns an enquiry into a priced, branded quote or proposal without anyone rebuilding a spreadsheet. Quote automation holds the price list, the packages, the add-ons and the approval rules in one place, then generates the document, routes it for sign-off, collects the acceptance and triggers invoicing. The commercial judgement stays with the sales team. Only the rework around it disappears.

A request lands at 21:12 on a Sunday. Quote automation reads the deal fields, applies the tier and add-on rules, builds the pricing table, fills the scope and timeline blocks, and sends the proposal out for signature once the margin check passes. Nothing waits for someone to remember which version of the price list is current. We build quote automation for South African businesses from Cape Town, and we have delivered systems like this for 35+ companies over 3+ years.

How does quote automation work in practice?

Quote automation works as a chain of small, reliable steps that fire on a trigger instead of on memory. The offer structure comes first: packages and tiers, add-ons, onboarding fees, SLA options and regional terms live as rules rather than as tribal knowledge. A rules engine prices the deal, enforces margin floors and flags any discount that needs sign-off.

Document generation follows the same pattern. Quote automation fills the pricing table, drops in the right scope, timeline and deliverables blocks, attaches the SLA clauses that match the selection, and versions the file so a re-quote never overwrites the history. Acceptance and e-signature close the loop, with view tracking so the team knows when a proposal is being read. Once it is signed, the invoice or subscription is created and an onboarding task opens on its own. We assemble the steps with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini.

What does quote automation replace?

Quote automation replaces the manual quoting layer: rebuilding the same spreadsheet for every deal, copying last month's proposal and forgetting to change the scope, hunting for the current price list, chasing an approval in a chat thread that leaves no trace, and retyping an accepted quote into the accounting system. None of that is selling. All of it costs the business deals and margin.

Enquiries that used to sit for days come back as a complete, correctly priced offer. Wrong totals, missing add-ons and outdated prices stop reaching customers, because the rules build the document rather than a tired person at the end of a long week. Discount decisions carry a rationale note and an audit trail instead of living in a chat window. Invoicing starts the moment the customer accepts. We do not promise specific savings, because every price book is different. We map the current quoting process first, then show exactly which manual steps disappear.

Does quote automation work with our existing tools?

Quote automation is built into the systems a business already runs, not sold as a replacement for them. We connect deal records in HubSpot, Pipedrive or GoHighLevel, invoicing and subscriptions in Xero or Sage, payment links through PayFast or Stripe, signatures through DocuSign, PandaDoc or a built-in e-sign step, documents in Google Workspace or Microsoft 365, and customer messaging over WhatsApp Business Cloud API or Twilio.

The systems the team already trusts stay the source of truth. Quote automation reads the customer and deal data from them and writes the quote status back, so nobody learns a new place to check whether an offer was accepted. Price books, rules and version history that need their own home land in Supabase or PostgreSQL, and everything runs behind Cloudflare. If a tool has an API, quote automation can usually talk to it. If it does not, we say so before any build starts rather than after.

Is quote automation POPIA compliant, and who approves discounts?

Quote automation built by us is POPIA-aware from the first design session, because a quote carries customer contact details, commercial terms and pricing that a competitor would like to see. Consent is captured explicitly, with the source and the time stamp recorded. Automated follow-up messages carry clear opt-out wording, and proposal links expire instead of staying public forever.

Approval authority is set by the business, not by us. Thresholds route a discount request or a margin breach to the right role, the approver records a rationale, and the audit trail keeps that decision attached to the deal version it belongs to. Each quote collects only the fields it needs, retention windows delete old versions on time, and access controls limit who can open a price book. Data is encrypted in transit and at rest, and webhooks are signed. Risky actions wait for a human sign-off.

How does a business start with quote automation?

Starting with quote automation is a conversation, not a contract. Pick one offer family and one clean template first, then define the packages, add-ons, SLA options and the fields needed to price a deal reliably with no missing information. That conversation costs nothing and usually takes under an hour.

Next we build the pricing rules and the approval thresholds, so totals, margin floors and discount routing are enforced by the system and logged as they happen. The proposal template comes after that, with auto-filled pricing tables, scope and timeline blocks, SLA clauses by selection, and versioning for re-quotes. Acceptance, e-signature and the invoice and onboarding triggers close the chain. The pilot runs two to four weeks on the team's own deals, then more tiers, departments and integrations are added safely. The business owns everything we build: workflows, prompts, templates and data.
