A job closes at 16:40. Review AI sends the request on WhatsApp, falls back to email or SMS when nothing lands, drafts a reply once the review appears, and pushes the strong ones to the website widget. Anything below the threshold goes to a person with a ticket attached, instead of into a public argument. How does Review AI work in practice?

Review AI works as a chain of small steps that fire on a trigger instead of on someone's memory. Request comes first: an order marked delivered, a job signed off or a ticket resolved sends a friction-free review link on the channel that customer actually reads. Timing is the whole game, so the ask goes out on completion, not in a random blast on a Tuesday.

Respond comes next. Review AI drafts an on-brand reply from the context attached to that customer, the order, the ticket and the agent notes, then publishes it or holds it for approval. Recover handles the rest: a low rating opens a private ticket with an SLA, macros and a make-good option, and the ask repeats once the issue is closed. Monitor watches ratings, sentiment and recurring topics, and alerts the team when a spike needs a human. We assemble the steps with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini.

What does Review AI replace?

We connect customer records in HubSpot, Pipedrive, Zoho or GoHighLevel, helpdesk tickets and SLAs in the support tool already in use, order and job events from the ecommerce or field service platform, and customer messaging over WhatsApp Business Cloud API or Twilio.

The systems the team already trusts stay the source of truth. Review AI reads from them and writes back, so a rating, a reply and a recovery ticket all sit against the same contact and the same owner. Published reviews feed website widgets and the major destinations, and highlights can be pushed to social channels. Data that needs its own home lands in Supabase or PostgreSQL, and everything runs behind Cloudflare. If a tool has an API, Review AI can usually talk to it. If it does not, we say so before any build starts rather than after.

Is Review AI POPIA compliant, and who approves replies?

Review AI built by us is POPIA-aware from the first design session, because a review request is still direct marketing sent to a customer whose details the business holds. Consent is captured explicitly, with the source and the time stamp recorded. Every request carries clear opt-out wording, quiet hours block after-hours sends, and approved template messaging is used on WhatsApp where the rules require it.

Approvals sit where the risk sits. Sensitive replies, complaints and VIP accounts wait for a human before anything publishes, while routine thank-you replies can auto-publish once the wording has been signed off. Nothing goes public in the brand's name without a rule someone in the business wrote. A banned claims list keeps automated wording inside the boundary the business sets, human edits are preserved, and every ask, reply, escalation and publish is written to an audit trail. Data is encrypted in transit and at rest, and webhooks are signed.
