Sequence AI is an orchestration layer that listens for a business trigger, decides the next best action, then acts across WhatsApp, email, voice and web. Sequence AI is not a single chatbot reply. Every flow carries policies, memory and guardrails, so the system can book, quote, bill, update the CRM and escalate to a person with the context already attached.

Triggers are ordinary business events: a missed call, a new lead, an abandoned cart, an overdue invoice, an RFQ posted on a portal, an SLA about to slip. Decisions blend plain business rules with models, so the next step arrives with a confidence level rather than a guess. Memory pulls CRM history, VIP flags, stock, KYC status and language preference into the same decision. Observability closes the loop, scoring variants and watching reply rates, days to cash and SLA alerts. How does Sequence AI work in practice?

Sequence AI works as a chain of small, reliable steps that fire on a trigger instead of on somebody's memory. A missed call opens a WhatsApp thread while the caller is still nearby. The flow qualifies with a handful of short questions, proposes open slots, sends a pay link, then drops the calendar invite, all inside one conversation.

Quote rescue runs the same way over the following days: approved answers to the usual objections, a partial payment option where the business allows one, and an escalation to a person when a reply needs judgement. No-show prevention sends smart reminders, rebooks around load-shedding windows and notifies field ops. Collections keep the wording friendly, offer a payment plan, capture proof of payment and hand the recon to finance. We assemble the steps with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini.

What is the difference between Sequence AI and a chatbot?

Sequence AI is a multi-step orchestration layer with policies, actions and approvals, while a chatbot is a reply engine that answers and then stops. Sequence AI books the slot, issues the quote, takes the payment, writes the outcome back to the CRM or ERP, notifies the team, and escalates with the whole history attached.

That difference shows up on the second day, not the first. A chatbot answers an overdue account question once and forgets it. Sequence AI remembers the promise, waits the agreed period, follows up in the customer's language, captures the proof of payment and closes the loop for finance. Measurement is the other gap. Variants are scored, reply and open rates are tracked, lead to booking is tracked, days to cash is tracked, and an SLA at risk raises an alert before a customer complains. Does Sequence AI work with our existing tools?

Sequence AI is built into the systems a business already runs, not sold as a replacement for them. Integration is the core of the work. We connect customer records in HubSpot, Pipedrive, Salesforce or InOne CRM, ledgers in Sage or Pastel, payment collection through PayFast or SnapScan, and reporting in GA4.

Messaging runs over WhatsApp Business Cloud API or Twilio, with email, voice, web chat and calendars feeding the same queue. The systems the business already trusts stay the source of truth. Sequence AI reads from them and writes back to them, so nobody learns a new place to look for a customer. Data that needs its own home lands in Supabase or PostgreSQL, and everything runs behind Cloudflare. Language presets cover English, Afrikaans and isiXhosa, with others added on request with tested tone packs. If a tool has an API, Sequence AI can usually talk to it. If it does not, we say so before a build starts.

Is Sequence AI POPIA compliant, and how does a pilot start?

Sequence AI built by us is POPIA-aware from the first design session, because a sequence touches customer data at every step. Consent is captured explicitly, with the source and the time stamp recorded. Every automated message carries clear opt-out wording, and template usage is logged so an audit can show what was sent and when.

Each journey collects only the fields that journey needs. Retention windows delete records on time, access controls limit who can open a record, and change logs record who touched what. Data is encrypted in transit and at rest, and webhooks are signed. A banned claims list keeps wording inside the boundary the business sets, human approvals gate discounts, refunds and anything medical or legal, and human edits are preserved so ownership stays clear. A pilot starts with one KPI, one mapped journey and agreed guardrails, runs two to four weeks on the business's own accounts, and the business owns the workflows, prompts and data.
