What is spreadsheet automation?
Spreadsheet automation turns a Google Sheet or Excel Online file into a live system, so a row stops being a note that somebody must act on later. Spreadsheet automation makes the sheet a database that triggers actions: send a WhatsApp message, create a task, update the CRM, generate a quote, request an e-signature, or issue a payment link. The sheet stays the place people work. The actions stop being manual.
A new row arrives at 07:12 with a name, a number and a status. Spreadsheet automation sends the welcome message from an approved template, files the record in the CRM, and books the follow-up. When the status column changes to Approved, the agreement generates and goes out for signature. Nothing waits for a person to remember. We build spreadsheet automation for South African businesses from Cape Town, and we have delivered systems like this for 35+ companies over 3+ years, on tools such as n8n, OpenAI and WhatsApp Business Cloud API.
How does spreadsheet automation work in practice?
Spreadsheet automation works as a chain of small, reliable steps that fire on a trigger instead of on memory. Connection comes first: we link Google Sheets or Excel Online and map the columns to entities and actions, so a Status column and a Mobile column mean something to the system. Triggers come next: a new row, a status change, a date or time, or an inbound webhook.
Rules and guardrails sit in the middle. Messages send inside business hours, duplicate rows are caught before anything goes out, and sensitive steps wait for an approval. Then the actions fire: WhatsApp, SMS and email from templates with variables pulled from the row, tickets and tasks with owners and SLAs, deals moved across pipeline stages, documents generated and returned as PDFs, and CRM records updated. Dashboards report throughput, errors and SLAs, with alerts on failures. We assemble the steps with n8n or Make.com.
What does spreadsheet automation replace?
Spreadsheet automation replaces the manual work wrapped around a sheet: copying a mobile number into WhatsApp, retyping a row into the CRM, rebuilding the same quote in a word processor, printing a document for a signature, and scrolling a tab on a Friday afternoon to find who was never called back. None of that is the work. All of it is the admin around the work.
Colour coding and filter views stop being the follow-up system. A status change drives the next step, a date column drives the reminder, and a new row drives the welcome message. The tab that three people edited at once, each with a slightly different version of the truth, becomes one record with a log behind it. We do not promise specific percentages, because every sheet is different. We map the current file and the manual steps around it first, then show exactly which of those steps disappear.
Does spreadsheet automation work with Google Sheets, Excel and our existing tools?
Yes. Spreadsheet automation runs on Google Sheets and Excel Online out of the box, and CSV imports too. Nobody moves to a new platform, and nobody learns a new place to look for a record. Integration is the core of the work, so we connect what the business already runs.
Client records live in HubSpot or GoHighLevel, messaging goes over WhatsApp Business Cloud API or Twilio, mail and calendars run in Google Workspace or Microsoft 365, accounting sits in Xero or Sage, payment links come from PayFast or Stripe, and documents go out for e-signature and return as PDFs saved back against the row. The sheet stays the source of truth for the team that owns it. Data that needs its own home lands in Supabase or PostgreSQL, behind Cloudflare. If a tool has an API, spreadsheet automation can usually talk to it. If it does not, we say so before any build starts.
Is spreadsheet automation POPIA compliant, and who approves what?
Spreadsheet automation built by us is POPIA-aware from the first design session, because a sheet of customer rows is personal information sitting in a file that is easy to share by accident. Access runs through scoped service accounts and API keys instead of a shared login, and keys are stored outside the sheet where no editor can read them.
Every action is logged with an audit trail, so the record shows what fired, on which row, and when. Consent is captured with a source and a time stamp, and automated messages carry clear opt-out wording. Each workflow reads only the columns it needs, retention windows clear old rows on time, and webhooks are signed. Risky actions such as bulk sends, payment requests and outbound documents wait for a human approval, and a test column lets the team run the whole flow without touching a live contact. Data is encrypted in transit and at rest.
How does a business start with spreadsheet automation?
Starting with spreadsheet automation is a conversation, not a contract. Send us the spreadsheet and the actions wanted from it. We read the columns as they are, including the merged headers, the free-text notes and the tab that nobody wants to explain, and we say plainly what can fire off them.
Then we start thin. One workflow, one trigger, one action, proven on real rows before anything else is wired, because a sheet that fires the wrong message at scale is worse than a sheet that fires nothing. Wording for every outbound message is drafted, reviewed and approved before it can send, and a test column runs the flow safely. The pilot runs two to four weeks on the business's own accounts, then more triggers and more teams come on. The business owns everything we build: workflows, prompts and data. We have worked this way with 35+ companies across South Africa.
