Booking intake follows the same pattern. Winery AI collects date, time, guest count, dietary needs and tasting interest in order, then writes a clean handover for the tasting room. Event leads route to the events team with the details already gathered. Wine recommendations draw on taste, food pairing, occasion, gift need and current stock. After the visit, follow-up drafts review requests, reorder prompts and wine club invitations. We assemble the steps with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini.
What does winery AI replace?
Winery AI replaces the scattered admin layer wrapped around guest conversations: the same tasting question answered by hand across four inboxes, a wedding enquiry that waits until someone opens the shared mailbox on Tuesday, wine club renewals tracked in a spreadsheet, and the follow-up message that was meant to go out after a busy Saturday. Winery AI is built into the systems an estate already runs, not sold as a replacement for them. Integration is the core of the work. We connect ecommerce in Shopify or WooCommerce, point of sale and stock in Lightspeed, guest records in GoHighLevel, HubSpot, Zoho or Pipedrive, tasting and restaurant reservations in Dineplan style booking tools, email marketing in Mailchimp or Klaviyo, calendars and mail in Google Workspace or Microsoft 365, and guest messaging over WhatsApp Business Cloud API or Twilio.
The systems the winery already trusts stay the source of truth. Winery AI reads from them and writes back to them, so nobody learns a new place to look for a booking or an order. Reporting lands in Looker Studio or Power BI, and data that needs its own home sits in Supabase or PostgreSQL, behind Cloudflare. If a tool has an API, winery AI can usually talk to it. If it does not, we will say so before any build starts rather than after.
Is winery AI POPIA compliant and responsible about alcohol?
Winery AI built by us is POPIA-aware from the first design session, and it is written to respect responsible alcohol rules from the same session. Consent is captured explicitly, with the source and the time stamp recorded. Every automated message carries clear opt-out wording, and template usage is logged so an audit can show what was sent and when.
Legal drinking age, responsible drinking messaging, platform advertising rules and local liquor requirements are built into the wording rather than bolted on later. A banned claims list keeps the assistant from inventing awards, scores, health benefits, vintage facts, stock status or sustainability claims. Each guest journey collects only the fields it needs, retention windows delete records on time, access controls limit who can open a guest file, and change logs record who touched what. Data is encrypted in transit and at rest, and webhooks are signed. Complaints, refunds, allergy questions, intoxication concerns, press enquiries and event contracts route to staff every time.
