What is WhatsApp Ordering?

WhatsApp Ordering is a system that lets customers browse a product menu, ask questions, build an order, confirm details, receive payment instructions and get delivery or collection updates inside WhatsApp. WhatsApp Ordering is not a chatbot bolted onto an inbox. It is a commercial workflow that connects product choice, stock, customer details, payment, fulfilment and reporting.

The customer experiences a simple chat. The business receives a structured order. A shopper asks about a size at 21:10, the assistant answers from the catalogue, captures the item, quantity and variant, sends a payment link with a unique reference, and drops a packing task into the fulfilment queue. Nobody retypes anything into a spreadsheet at closing time. Fulfilment tasks are then created for picking, packing, kitchen, warehouse, branch, courier or collection. Customers receive order received, payment received, packing, ready, out for delivery and delivered updates on the same thread they started in. We assemble the steps with n8n or Make.com, with language handled by OpenAI, Anthropic Claude or Google Gemini.

What does WhatsApp Ordering replace?

WhatsApp Ordering replaces the manual layer behind a busy chat inbox: retyping orders out of messages into a spreadsheet, checking stock by walking to a shelf, sending banking details by hand, hunting through a thread for a payment screenshot, and answering the same delivery question one customer at a time. None of that is selling. All of it costs staff hours.

Orders that used to depend on whoever was holding the phone arrive as structured records with items, variants, customer details and a payment status attached. Proof of payment lands in a finance queue instead of a personal chat. Fulfilment sees the order the moment payment clears. Abandoned baskets get a follow-up rather than quietly disappearing. Does WhatsApp Ordering work with our existing tools?

WhatsApp Ordering is built into the systems a business already runs, not sold as a replacement for them. Integration is the core of the work. We connect WhatsApp Business API, Meta catalogues and WhatsApp Flows to storefronts in Shopify or WooCommerce, tills and stock in Lightspeed or an ERP, customer records in GoHighLevel or HubSpot, and payments through Yoco, PayFast, Ozow, Peach Payments, Paystack or Stitch.

The stock system, the till and the ledger stay the source of truth. WhatsApp Ordering reads from them and writes back to them, so nobody learns a new place to look for an order. Lighter catalogues can live in Google Sheets, Airtable or Notion, accounting stays in Xero, QuickBooks or Sage, and data that needs its own home lands in Supabase or PostgreSQL. If a tool has an API, WhatsApp Ordering can usually talk to it. If it does not, we say so before any build starts.

Is WhatsApp Ordering POPIA compliant, and who approves what?

WhatsApp Ordering built by us is POPIA-aware from the first design session, because one order thread carries a customer name, delivery address, phone number and payment detail together. Consent is captured explicitly with source and time stamps, marketing messages carry clear opt-out wording, and service, utility and marketing templates are used only for the purpose each was approved for.

Ordering rules sit on top of that. Stock is never confirmed by the assistant unless the inventory source is reliable, and uncertain items route to staff. Payments use unique order references, verified payment links, proof checks and finance confirmation where value or risk warrants it. Product data stays current: prices, variants, images, delivery terms, allergens, warranties and return rules. Humans keep complaints, refunds, high-value orders, payment disputes, delivery failures, unavailable stock, custom quotes and regulated products. Risky actions wait for a human sign-off.

How does a business start with WhatsApp Ordering?
